Why the first weeks are fragile
During the project, every problem has a project team around it. After launch, that team often moves on, and the people left using the system are the ones who were busiest running the business while it was being built.
The first month end close, the first payroll run and the first stock count on the new system are where small configuration gaps show up. Handled quickly, they become minor fixes. Left alone, they become the story people tell about the new system.
A new system becomes a trusted system in the weeks after launch, or it does not.
What keeps a new system on track
- Hypercare, not handover. The implementation team should stay close until the first closings run clean.
- A single place to raise issues. Users know exactly where to go, and nothing gets lost in chat groups.
- Fast fixes, visible progress. Small problems solved quickly build confidence that the big ones will be handled too.
- Clear ownership from day one. Someone owns master data and approves changes, so the system does not drift.
Plan for after, before you start
The best time to plan support is during the project, not after the first problem. Decide who will support the system, how users will raise issues and how changes will be approved once the project team is gone.
